The GraVoc Macola Business Process Management System is a front-end, multi-user interface to the Macola Progression series product that helps streamline your entire sales, planning, purchasing, manufacturing and shipping process. In fact, the GraVoc Macola BPM solution touches every department within your organization and uses a defined workflow engine to route your sales orders to the appropriate departments as actions from those departments are required. Each user and/or department has a job specific dashboard where sales orders are routed when they need to make decisions and initiate actions to move the sales order along throughout the organization. Users only see items in their dashboard that pertain to their particular job function and those items will remain in their dashboard until they are completed and routed to the next step in the workflow process.
The GraVoc Macola BPM solution starts with the ability to generate quotes and e-mail and/or fax them directly to your customers. The quoting engine contains the ability to calculate and use complex, special customer and/or item pricing and discount functionality. Once a purchase order is received, the quote can be converted to a sales order to eliminate retyping of the data. Once the sales order is acknowledged the rest of the workflow process kicks in to determine how to handle the items on the sales order. In this example, with the sales order for our new customer, the customer and/or sales order is not marked a "Ship Complete" order and it contains both purchased parts and manufactured parts.
The workflow engine looks at each sales order line item and determines how and where to route the sales order lines. One item on the order is a purchased part that has no available quantity on-hand. This particular sales order line is routed to the purchasing agent's dashboard so that he can generate a Purchase Order. When the Purchase Order is received the sales order line is routed to the shipping department where a picking list and packing slip are generated. There are also two manufactured line items on this sales order. The first manufactured item has sufficient quantity available on-hand to cover the requirement; therefore it is routed directly to the shipping dashboard for picking and packing. The second manufactured item does not have sufficient quantity to meet the requirement; therefore it is routed directly to the planning department so that it can be scheduled in the next production run. When the production order is complete the sales line item will be routed to the shipping department. As the order lines are shipped, the workflow routes the sales order to the accounting department to close out the process with an invoice to the customer.
